General Job Description:
Primary back-up to receptionist. Cover reception during breaks (including lunch), vacations and other absences. Clerical support to the Facilities Department. Back-up receptionist – duties can include: Start-up and shut down the front desk computer daily. Answer telephone and direct caller to appropriate individual. Greet and have all visitors/contractors sign-in and sign-out when entering/leaving the building. Review visitor check-out list and call any Starz Entertainment (SE) employee whose visitor did not check out to confirm they are still with the employee or that they have left the building. Call the SE Employee when a visitor arrives, asking them to escort their guest. Update the SE telephone directory, worker search and the Intranet with employees’ telephone/fax numbers and room/cubicle number. Approves Corporate Express Orders after review.(Back-up) Calls for Courier Service and Taxi. Answers the Help Desk Line 23000. ( Back-up) Provide light clerical duties for various sub-departments within Facilities. Mailroom processing duties when needed. Responsible for ordering and keeping current inventory of all office supplies for department. Assist with processing, submitting, and tracking all invoices within the department. Assist with coordination of new vendors to insure accounts are up in Accounting System. Execute various reports in Computerized Maintenance Management System, which include Open and Closed work orders, Preventative Maintenance and Status reports. Establish internal and external meeting schedules. Maintain office support services by organizing office operations and procedures; managing correspondence; create and maintain filing systems. Working with Senior Manager on record keeping, forms control, and budgetary requirements, including processing invoices as appropriate. Resolve administrative problems by coordinating preparation of reports analyzing data, and identifying solutions. Ensure efficient and effective phone coverage to assist in communication with affiliate and corporate support groups. Work with the Senior Manager on concerns in the office in recommending and implementing solutions. Assists for all building, facility and phone issues, such as Emergency Procedure, Fire Alarm Procedures and general office Safety. Make name labels for move boards and event signs.
Required Skills:
Associate’s Degree or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Excellent verbal, written and communication skills.
