General Job Description:
The Administrative Coordinator will provide administrative and clerical support to the Finance & Accounting department. Provide phone coverage. Screen incoming calls and other correspondence and respond independently when possible. Process and distribute department mail. Maintain file indexes, filing systems and various computer files. Assist in filing paid invoices. Maintain vendor records in MAS500. Run data downloads and reports for the Company’s automated expense management system. Assist in administration of the American Express corporate card program. Develop and maintain office processes and procedures. Handle sensitive information, maintaining strict confidence. Coordinate the records management for the department and ensure compliance with the Company’s records retention policy. Compile and distribute financial reports. Utilize Microsoft Access, Word, PowerPoint, and Excel to perform data input, word processing, presentation, and spreadsheet duties. Maintain calendars in Outlook. Coordinate and arrange internal and external meetings, prepare agendas, reserve and prepare facilities and record minutes of meetings. Assist in coding invoices and researching AP issues. Process cash receipts and prepare daily bank deposits. Reconcile incoming invoices to prior period accruals. Prepare expense reports for the department and provide expense reporting support for other departments. Coordinate department travel by determining travel dates, destinations and modes of transportation, as well as analyzing relevant costs. Coordinate with internal resources to ensure efficient operation of the facility and office equipment. Maintain office supplies and equipment inventories. Assist in management of internal and external communication and workflow. Exercise independent problem-solving techniques to resolve administrative issues. Monitor and complete ad hoc administrative projects and functions as assigned. Function as the contact point for the department, provide customer service and information, answer questions, and fulfill requests.
Required Skills:
Minimum four years administrative experience in corporate business or similar business environment. High school diploma or high school equivalent required. Strong customer service skills. Knowledgeable in Microsoft Office, Word, PowerPoint, and Excel. Excellent verbal and written communication skills. Ability to work in a fast-paced environment and handle multiple projects. Strong organizational and math skills and proficient in establishing priorities. In addition, previous cable or broadcast TV experience, experience in an accounting or bookkeeping environment, experience with MS Access, previous travel services experience, and strong business/finance acumen are plusses.
